Most companies have processes that run across several tools and several people - a request lands in an inbox, gets forwarded to a colleague on WhatsApp, is typed into Excel, and finally the status is reported back to the client by hand. Tokora maps those steps and connects them into a single flow: when something happens in one place (a new request, an approval, a status change), the system automatically triggers the next step, notifies the right person, and updates the status in one place. The goal is for handoffs between people and tools to happen on their own, while the team stays focused on the decisions that genuinely need human judgment.

When client data, tasks, and statuses live across different spreadsheets, emails, and notes, nobody has the full picture. Tokora builds an internal portal - a simple web app tailored to the specific company - where the team enters and reviews requests, tasks, leads, clients, and documents in one place. The portal takes over the job of several parallel Excel files and message threads, with clear statuses and history, so a manager always knows what is being worked on and what is waiting in line.
03. AI support automation
AI classifies requests, suggests replies, routes cases, summarizes tickets, and reduces support workload.
Support and customer requests often arrive through multiple channels - email, website forms, chat, phone - and the first step is always the same: read it, understand what it is about, and route it to the right person. The AI layer Tokora implements takes over that first step: it classifies the incoming request by type and priority, drafts a reply based on previous cases, and summarizes longer threads into a short overview for the agent. People still make the decisions and send the final replies, but they no longer lose time on manual sorting and retyping the same information.
04. Lead intelligence systems
We capture, enrich, qualify, route, and follow up on leads through structured workflows and AI assistance.
Leads often arrive from multiple channels (website, ads, referrals, direct contact) and end up in different lists with no clear owner or next step. Tokora connects those channels into one flow: a new lead is automatically logged, enriched with available data, qualified against defined criteria, and assigned to the responsible person, with reminders for the next step. The AI part helps with the first assessment and prepares context for the sales team, while the structure ensures no lead falls through the cracks between tools.
05. AI reporting assistants
We turn operational data into summaries, dashboards, alerts, and decision-ready insights.
Data about how a company runs - sales, tasks, inventory, support tickets - usually already exists, but the report is still built by hand: a few hours a week spent joining numbers from different sources into one overview for management. Tokora builds automated reporting that pulls data from existing systems and generates regular summaries, dashboards, and alerts when something moves out of range (e.g. a drop in sales, a pileup of tickets, overdue tasks). Management gets a live view of the state of things without waiting for a hand-assembled report.
06. Document intelligence
We extract, classify, summarize, and process documents such as invoices, delivery notes, forms, requests, contracts, and reports.
A lot of operational time goes into manually reading and retyping data from documents - invoices, delivery notes, purchase orders, forms, contracts - into the systems where that data actually belongs (accounting, CRM, ERP, or government portals). Tokora implements AI document processing and integrations that recognize the document type, extract the relevant data, prepare it for compliance requirements, and write it into the right system, with a review step before final entry. The result is less manual retyping, fewer errors when copying numbers, and a clearer trail for legally required flows.
